On the next few pages, we

about your company. This is about you, not about one of your clients. The information will be used to create automatic header information and support some other features within the database.

This is a help file for your Setup database. The database is designed to assist you in setting up the basic parameters which tailor Expert Consultant (EC) to your operation, along with supplying that information to the appropriate integrated database files.
If this is a demo (unregistered) copy of EC, you will be asked to fill out critical company information about your firm before launching EC. Go through each screen and enter in all information about your company that you would like B
to have printed out or used by EC. Unregistered copies will retain this information during the entire time EC is active. Restarting EC or the beginning of the next day will require the re-entry of this information.
What is asked for during the company setup process? EC will ask for your company name, address, and additional contact information. This data is supplied to most form letters, billing invoices, purchase orders, and specialty layouts within EC. If no data is entered, EC will default to the After Hours information (which would look funny to your clients and vendors). Registered copies do not default to this setting, and will retain the settings you submit to us
Specialty buttons permit inspecting linked information or specialty layouts. Underlined items also
harbor links to related layouts. For instance, the setup page for Consultant is available via the
depressed Clients button for inspection or editing.

Expert Consultant was created by Paul S Vail at After Hours Consulting. Born out of frustration for a decent database solution to track computer consulting clients, products, billing and inventory, Expert Consultant grew to encompass all of our in-house needs and more.
Presently, EC is structured to the current 1998 tax laws for Federal returns and North Carolina State catagories only. In its canned format, EC will permit only a limited number of records, with no access for layout mod
ifications. Registered users are issued a serial number which will unlock additional printing capabilities, deactivate the record limit, and be eligable for reduced-cost updates and technical support.

For your purchases and expenses, EC has a pulldown menu to list cash, check and credit card
numbers for easy tracking and reference. Select the Purchase method window here to review
or add to the menu. To add, simply select Edit in the window, then type in a card description

number to drop to the next line.

Client information. The Client file provides space to record personal information about each
individual listed as a client. The first of several on-screen folders is presented as two columns,
where you might record important contact information (date of birth, name of spouse and family,
social security number, etc. These are User Definable labels for the tab categories.
Suggestions: we use column A to record the hardware our clients own, along with the specs of the
system and se
xrial numbers. We use column B to record the software they use. Some of our customers use the two columns to record favorite products or services for a client, ancillary
contact information such as alternative email, phone, fax, web, and mailing addresses. Another client uses the column to organize a client's clothing sizes for theatrical costumes. The choice is yours.

Inventory information.
Expert Consultant permits the tracking of inventory affected by your purchases and invoicing. Purchases will add to an inventory and Invoices reflecting the sale of those material goods will subtract from inventory counts. Electing to have an inventory may affect you accounting and tax preparation at the end of your fiscal year. Inventory tracking is also handy for the obvious tracking of goods. If you purchased the inventory system, please keep in mind that yoBsu need to exercise consistancy in naming your products. Consult the manual for guidance.

Billing information: Business classification.
Expert Consultant permits several billing options, depending on your business needs. You should
select the catagory which best suits your billing requirements. The three catagories are:
Contractor: a contractor only bills by time, which means your business requires a page layout format for
printing an invoice indicating billable hours, but no material goods are billed.
Retailer: a retailer buys and sells material goods, which means your
business requires an invoice format
for detailing material goods sold but no labor or time fees are billed.
Both: a contractor who needs to invoice line item material goods separate from contract time or a retailer
who also charges for labor time separate from material goods sold.

Product Information.
For your products file, EC has several ways to aid in the management of products and your inventory.
Select the prefered amount of markup on the resale of goods. This is used strictly as a guide and you
are free to price any item at any rate.

This layout is designed to aid in the import of new files or migration of an entire database file
into this new database. If you are updating from an older database, read on.
Please scroll through and read this entire page before attempting to import your data. Failure
to do so may result in incomplete transfer of data. After Hours Consulting makes no claims or warranties as to the accuracy of the import process, as much of the final result is strictly in the hands of you, the reader

The next four figures will illustrate the process. Prior to importing, you should make a complete
backup of your existing database. We cannot stress making frequent backups enough. Do this. The
n, place a copy of your database in a folder on the desktop.
Your current datafiles should be in one of these desired formats: FileMakerPro, Tab-delimited, Comma-delimited, SYLK, DBF, DIF, WKS.
If you have not already done so, you should move your target database folder (these files) to the
desktop, too. This will make the process much easier for you. You may also want to print out this
information for ease of use.
#When you select the import
button at the bottom of the
screen, you will see a series
of new screens.
Filemaker will first ask
you to locate the file from
which you will be importing
your data.
Use the navigation box to
find your old file. In this
example, we open a folder
on our desktop.
The next window is the most important one. This window allows you to select which fields the old information is to be placed into within the new file. (Note: your field and file names will differ). If you are updating an After Hours product, you should be able to quickly match the appropriate fields by selecting the
view by matching names
option in the upper right corner. You may inspect sample records by selecting the Scan Data buttons. We recommend the given
settings. Consult B)your FileMaker manual for other features.
The final step before
the import begins (and
the last opportunity to
cancel the import) is
the options window.
We do not recommend
checking the auto-
enter options unless
you have updated
your Clients db.
Click on OK to conduct
the import. Do not
split records.
To start the import, select the import button. When the import has finished, please inspect your new records for accuracy. You may leave the import process by selecting the Finished button.

iBilling information: Billing invoices can display tailored footer information. These footers show up at the bottom of each invoice format. They are useful for stating your terms of business, offering directions to your store, or simply wishing your customers a good day. We recommend only entering information that can be contained within the text box below:

If a problem develops due to service performed by After Hours, we will repair or replace (at our discretion) the hardware component and/or restore corrupted software from your original masters at no additional charge to accounts in good standing. Due to the sensitivity of microelectronic components, guarantee honored only for installations conducted by our personnel. Or, use it for special notifications ("Thank you for your order!", "Have a nice day.", "Make payments out to OurCompany"). This is also a good place to note tax information for 1099s ("DBA OurCompany, FIN 55-0000001")

If you are the owner of a previous version of ExpertConsultant, this screen allows you to transfer your previous settings and registration to the new version.
You will need to have ready access to your current version of EC. If you have not read the section on upgrading in the manual, we recommend that you QUIT from this copy of EC and do so now. You should open each module of your OLD VERSION of EC, and use the FIND ALL command in EACH MODULE. The modules ar

For your purchases and expenses, EC has a pulldown menu to list cash, check and credit card
numbers for easy tracking and reference. Select the Purchase method window here to review
or add to the menu. To add, simply select Edit in the window, then type in a card description
and the number/expiration date. To add multiple cards, press return at the end of each card
number to drop to the next line.

For your product file, EC has user-definable fields for tracking terms not already incorporated into the standard layouts. When entering in a new product, you may use these fields to denote special attributes or brief notations that will show up in all browsing windows.

EC modules are an integral part of ExpertConsultant. No module should be updated without using the normal Import feature. Each release of EC must contain the native module which shipped with that release (swapping modules will not work properly and should be avoided). Technical support may request module information during assistance -- obtain the latest module version either here or from within that specific module's "About" page.
